This notice explains how assessment information is processed, routed, stored, and removed.

Information collected

The assessment collects the student’s name and email address, an optional institution, class, program, or group, the email of the selected educator, facilitator, or advisor when one is provided, and responses to the 20 Career Self-Discovery questions.

How the information is used

The information is used to generate a Career Self-Discovery Analysis, route it to the recipient selected by the student, support educator-student reflection and conversation, and administer the Framework. It is not used by this website to make admissions, employment, grading, licensure, counseling, or academic decisions.

AI-assisted processing

To create the Career Self-Discovery Analysis, the website sends the student’s assessment answers through a private, encrypted connection to the OpenAI API. The student’s name, email address, and educator or advisor email address are not included in the information sent for AI analysis. They remain in the website’s secure system so the completed report can be routed to the correct recipient.

OpenAI does not use API information to train its models by default, and this website does not enable optional sharing for model training. As part of its security and misuse-prevention procedures, OpenAI may temporarily retain protected monitoring records for up to 30 days. These records are used to maintain the safety and security of the service and are then removed according to OpenAI’s retention policies, unless a longer period is legally required.

The Career Self-Discovery website stores the completed analysis, the student’s identifying information, and the selected recipient information for up to 12 months. It does not keep a separate database copy of the student’s raw 20 responses.

Who can view the analysis

Susan Todd, as the site administrator, can view all generated analyses. A designated educator, facilitator, or advisor can view only analyses routed to the email address they use when signing in. The student does not automatically see or receive the analysis through the current workflow.

Secure delivery

Results are currently delivered through the secure Educator Results dashboard. When automatic email notification is activated, the notification will direct the authorized recipient to sign in. The email notice will not include the student’s responses or the complete analysis as an attachment.

Recipient responsibility after downloading

Educators, facilitators, advisors, and administrators who view or download an analysis are responsible for protecting that copy, limiting access to people with an appropriate educational purpose, and following their institution’s privacy, recordkeeping, and deletion requirements. Once a PDF has been downloaded to another device or institutional system, that copy is outside the Career Self-Discovery website’s direct control and is not removed by the website’s routine 12-month cleanup.

Retention and removal

Generated analyses and their identifying and routing information are retained for up to 12 months. Records older than 12 months are removed through routine system cleanup. A student or authorized recipient may also contact Susan Todd to ask a question about a record or request earlier removal, subject to any applicable institutional requirements.

What this analysis is, and is not

The Career Self-Discovery Analysis is a reflective exploration resource. It is not a career-matching test and is not intended to replace counseling, academic planning, advising judgment, or institutional decision-making. It does not guarantee a particular career, internship, job, admission, licensure, clarity, or success. The student remains the decision-maker.

When the Framework is used by or on behalf of an educational institution, the institution may have separate recordkeeping, privacy, consent, or access obligations, including obligations that may apply to education records. Participating institutions and educators should follow their own approved policies and applicable law.

Protecting your information

Students should not include their full name, another person’s full name, a student identification number, Social Security number, financial account information, medical information, passwords, or other highly sensitive personal information inside their written answers. The separate name and email fields provide the information needed to identify and route the report.

No online system can promise absolute security, but assessment answers are transmitted through an encrypted connection, and access to stored analyses is restricted through signed-in recipient and administrator controls.
